RECREATION COMMITTEE MINUTES
May 12, 2018


The meeting of the WLE POA Recreation Committee was called to order by Vinny Settepani, Tri Chair, at 10:00 a.m. May 12, 2018.  Thirty one members were present.  All rose for the pledge of allegiance.
Gwenn Phillips read the minutes of the April meeting.  Nan Yack made a motion to approve the minutes as corrected, seconded by Dianne Kitchell.  Minutes were approved.
The Treasurer's Report was handed out to all attendees.  (Our current balance on hand as of May 11 was $20,526.55 in the checking account.  We also have a $5,000 cd.)

OLD BUSINESS:
The Kentucky Derby/Cinco de Mayo celebration was a huge success.  The event made a profit of $1,380.69.  Everyone agreed it was a huge success.

Joanne reminded us that event paperwork needs to be handed in to the office as quickly as possible after an event.  If you need a flyer for an event, please contact Mal Mack.  Also, please include menus on event advertisements.  


NEW BUSINESS:
Dianne Kitchell reported that she has her minimum number of people required to hold the Sip N Paint on May 19 starting at 6:00 p.m. in the MCH.  Cutoff date is May 11, $25 per person (15 years and older).

Rachele Harmuth addressed the committee.  The current tri-chairs are in agreement that Recreation has the funds and should not stress about making money on every event.  We should be spending money for items our residents will enjoy.  Vinny added his comments along the same line.

Memorial Day next on the agenda.  "Meet Your Neighbor" will be held Saturday, May 26.  At noon that day, Vinny will make hot dogs to be handed out free of charge along with a can of soda.  There will be tables set up representing different groups within WLE.  The main focus is to introduce someone new to the many opportunities for WLE residents.  At 2:00 the Scavenger Hunt will commence also starting at Rockledge. Terry C and Joanne N chairing Scavenger Hunt.

Our first Comedy Night will be Sunday May 27, starting at 7:00 p.m. in the main clubhouse.  Tickets on sale at $17/person; deadline is May 26.

Mike McG spoke about the condition of the kitchen when he was there to prepare food for the Kentucky Derby and the mold he found.  This subject was tabled until later in the meeting.
Mark and Cathy Brunie spoke about the Sock Hop they are chairing on June 23.  They have hired a D J that also plays Karaoke at a great price of $75/hour.  Menu includes hamburgers, hot dogs, French fries, salads, root beer floats. The volunteers for this event will be doing the cooking and they anticipate having a "wing contest" for appetizers.

Terry C announced that we still have not hired someone for the paid Recreation position.  She conferred with members after the meeting.

Vinny handed out his volunteer sign-up sheet for our July 7 celebration.  He requested that people volunteer for one hour that day.   Terry C announced that she has hired the band "The Mix" for July 7.

Next topic discussed was "Pickle Ball".  Nan Yack made a motion to purchase two portable nets for the tennis court at Beaver Pool allowing residents to play Pickle Ball.  Tony Schwab will do the measurements for lining.  Nan will follow through to completion.  Each net is on wheels and costs $250.  Sue Mack seconded the motion.  The motion to purchase two portable nets with a budget of $800 was unanimously passed by a raise of hands.

Cathy Brunie asked about her budget for the Sock Hop.  She was assured she has a budget of
$2.000.  Board Liaison Al Cucciniello made suggestion to committee that we revise our procedures and increase the amount of money the committee can approve before going to the Board of Directors with any additional event not specifically on Recreation budget.  Frank Carrotozzolo recommended that we raise all amounts currently in our guidelines.

Terry Cucciniello requested more money for the Fishing Derby.  Her budget was increased to $500.  Fishing Derby will be Saturday, August 4.  Held at Deer Lake; it will start at 10 a.m.  Fishing Clinic will start at 9:30 and last until 10.

Terry C advised that Kathy Sollenne approached her regarding bus trips that Kathy would chair.  Kathy plans to do two trips this year (summer and winter).  She has requested a budget of $1,200 ($600 per trip).  Terry made the motion that Recreation budget $1,200 for these trips, seconded by Mal Mack and passed by a raise of hands.

Jerry B and Terry C still working on prices for an electronic billboard.  To date, the amounts they have been given are $25,000 or $35,000.

Eileen McGregor asked if Rachel contacted Christine S about Facebook page.  She has not but she will.

Joe Mongalieri made a motion that Recreation purchase stretch bands for the "Walking with Leslie" group.  He made a motion that he be given a budget of $150 to purchase these bands.  There was no objection and Joe was instructed to make the purchase.

Terry C has organized a Casino Bus trip to Mohegan Sun Casino on Monday, August 6.  Cost is $20 per person.  Price includes $25 in slot pay and a $5 food voucher.  She advised that buffet at casino is not open on Mondays.  Bus will leave WLE at 10:00 a.m. and leave Mohegan Sun at 4:00 p.m.

Christina Folan approached committee with her desire to run a fundraiser for children's cancer.  Board liaison Al Cucciniello spoke with her after the meeting.  This is a Board of Directors decision.

Dianne Kitchell raised the subject of the Thursday Morning Coffees held during the winter months.  At this point in time, there is no chair.  Some discussion held.  Suggestion was to wait until fall and hopefully someone who attends will chair.

Rick Rivera made a motion that we bring back Volunteer Dinner.   Much discussion ensued.  Final result was no.  Rick rescinded his motion.

Vinny wants to put a pork dinner on the schedule for sometime this summer, perhaps August.   He wants to hire the barbershop quartet that George Greig belongs to.  He thinks he can hire them for $250.  Motion made that he be given a budget of $1,000 for this dinner, seconded by Pat M and carried by vote of hands.  Exact date to be determined.

The subject of the kitchen's cleanliness was readdressed.  Mike McG advised how he found the kitchen before the Kentucky Derby.  There was much discussion about what was done in the past and what needs to be done.  Consensus was that kitchen requires sanitary cleaning if food is being prepared.  Also recommended was that a checklist be prepared for posting in the kitchen with all instructions for all appliances and what has to be turned on and turned off.  Putting this checklist together was tabled for our next meeting.  Al C advised that Board of Directors is addressing this problem.

Terry C would like to work with Frank Carrotozzolo and have a Golf Cart Drive-In Movie on July 14 after Music in the Park.  This could take place in the field by Kasper Lodge.  Possibly supply free popcorn.  Terry made a motion to be given a budget of $250 for a Golf-Cart Drive-In.  Motion was seconded by Nan Y and passed by vote of hands.

Our next meeting is scheduled for the same day as the Board's Annual meeting.  A motion was made by Rich Y that our next meeting be changed to June 16 so it does not conflict.  Nan Y seconded the motion and it was unanimously approved by a raise of hands, 

There being no other business to come before the meeting, Gwenn P made a motion that we adjourn, seconded by Joanne N and adjourned at 11:17 by a vote of hands.
